Personal Assistant to Partner

We are looking for a proactive and detail-oriented Personal Assistant to manage the professional and administrative affairs of Partner Sabrina Zhou. This role is critical to ensuring seamless operations, effective time management, and the highest standards of client service. The ideal candidate will be a trusted gatekeeper, skilled communicator, and expert coordinator who thrives in a fast-paced legal environment.

Key Responsibilities

  • 1. Agenda & Calendar Management
  • (1)Manage complex calendars, scheduling meetings, court appearances, depositions, and client consultations
  • (2)Coordinate with internal teams, clients, and external counsel to optimize Partner availability
  • (3)Proactively identify and resolve scheduling conflicts while ensuring critical deadlines are met
  • (4)Prepare daily briefings and itineraries for the Partner
  • 2. Administrative & Office Support
  • (1)Handle correspondence, including drafting, proofreading, and managing emails on behalf of the Partner
  • (2)Organize and maintain confidential case files, documents, and records
  • (3)Process expense reports, invoices, and billing documentation
  • (4)Manage office supplies and coordinate with facilities management
  • (5)Prepare meeting rooms and ensure necessary materials are available
  • 3. Client & Communication Management
  • (1)Serve as the primary point of contact for clients, acting with professionalism and discretion
  • (2)Screen and prioritize incoming calls, emails, and visitor inquiries
  • (3)Maintain detailed records of client interactions and case updates
  • (4)Coordinate client intake processes and initial consultations
  • 4. Travel & Event Coordination
  • (1)Arrange domestic and international travel, including flights, accommodations, and ground transportation
  • (2)Prepare detailed travel itineraries and expense documentation
  • (3)Organize firm events, client dinners, and professional engagements
  • 5. Legal Support (as required)
  • (1)Assist with basic legal research and document preparation under attorney supervision
  • (2)Coordinate court filings and ensure compliance with procedural deadlines
  • (3)Support trial preparation through document organization and exhibit management

Qualifications

  • Bachelor's degree or equivalent professional qualification
  • 3+ years of experience as a Personal Assistant, Legal Secretary, or in a similar administrative role within a professional services environment
  • Exceptional organizational and time management skills with the ability to multitask effectively
  • Outstanding written and verbal communication skills in English; Arabic is an advantage
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal practice management software
  • High degree of professionalism, discretion, and integrity when handling confidential information
  • Preferred
  • (1)Experience working directly with C-suite executives or senior legal professionals
  • (2)Familiarity with legal terminology and court procedures
  • (3)Experience with e-filing systems and legal research databases
  • (4)Background in business development or marketing support
